| 520 | |a تتناول الدراسة الوثائق الجارية بكلية الدراسات الإنسانية بنات بالقاهرة، ومن أهدافها حصر أنواع الوثائق المتداولة بالكلية، والكشف عن أساليب الحفظ والاسترجاع لوثائق الكلية واقعها والتخطيط لمستقبلها، وتستمد الدراسة أهميتها من أهمية ومكانة كلية الدراسات الإنسانية ودورها الذي يتمثل في تقديم خدمات تعليمية متميزة، وتخريج طالبات قادرات على المنافسة في سوق العمل من خلال التطوير المستمر للبرامج التعليمية، والدراسات العليا والبحوث العلمية، وما ينتج عن هذه الأنشطة من وثائق، ومن نتائج هذه الدراسة عدم تطبيق المعيار الدولي أيزو (١٥٤٨٩) الخاص بإدارة الأرشيف الجاري، وعدم التنسيق بين الكلية وغرف الحفظ المركزية واللجنة الدائمة للمحفوظات بالجامعة فيما يتعلق بوثائق الكلية من حيث الحفظ، والترحيل، والإتلاف وكل العمليات التي تمر بها، ومن توصياتها تطبيق المعيار الدولي أيزو (١٥٤٨٩) الخاص بإدارة الأرشيف الجاري- خاصة الأدوات الأساسية- سلطة الاستبعاد وجداول مدد الحفظ وخطة التصنيف، كما توصي الدراسة باعتماد نظام الأرشفة الإلكترونية مفتوح المصدر Open km))، لتوفيره لكل الوظائف والمميزات الضرورية لإدارة الوثائق وحفظها على المدى الطويل، وقدمت الدراسة مقترحات لذلك. |b The Faculty of Humanities for Girls in Cairo is one of the largest and oldest faculties of Al-Azhar University the girls’ branch in Cairo. It also possesses a huge amount of administrative Records that reflect the magnitude, importance and volume of the work it undertakes, and which are relied upon in the management of educational and research affairs. Therefore, it is necessary to rely on scientific methods and benefit from them in Records management in order to increase their effectiveness. The study is a proposal to establish a department for current in the college subject of the study, whose mission would be: to collect all the Records produced or received by the college during the exercise of its daily activities, and to organize these Records to facilitate access to them when needed, and to keep them in appropriate storage containers and places, Determine the method of circulation with the aim of preserving it, which may be exposed to damage or loss as a result of mishandling it, and supervising the sorting and exclusion process in accordance with the text of the regulations and retention periods set by Al-Azhar University, in addition to developing a vision for managing it electronically using the open source electronic archiving system (Open km). It is one of the most important open source electronic archiving systems, which was chosen based on the results of the comparison that was made between the electronic archiving systems under study in terms of functional features, characteristics and general dimensions of evaluation. Ten standards, while the other systems ranged between seven and nine standards, And it was applied to manage Records in the college subject of the study, and the study reviewed most of the operations that can be implemented on electronic Records that are available on the used version of the system, and experience has shown that the (Open km) system can be used to manage Records in the College of Humanities, and it can also be expanded to include the rest Faculties of Al-Azhar University, provided that the budget and trained human resources are provided. | ||
